1. Who we are

Polasourcing is the trading name of Yiwu Chengjieyi E-commerce Co., Ltd. (义乌丞结意电子商务有限责任公司), unified social credit code 91330782MAK29FAH84, with offices at 12D101 & 12D111, Lugang E-commerce Park, Chengxi, Yiwu, Zhejiang, China (“we”, “us” or “our”). We are responsible for the personal information described in this policy.

2. Information we collect

1. Information you send us: your name, company, email address, phone or WhatsApp number, country, and the product, quantity, budget and shipping details you share in an enquiry, email or chat.
2. Order information: delivery addresses, importer details, invoices, payment records and correspondence needed to complete a sourcing project.
3. Website usage data: pages viewed, approximate location, device and browser type, collected through Google Analytics cookies.
4. Preferences on your device: your chosen language and currency, stored in your own browser so the site remembers them.

When you submit the quote form, its contents are sent to our company inbox through Cloudflare, our website host. We do not keep a separate database of form submissions; the inquiry is stored in our email account and handled as described below.

3. How we use it

• To answer enquiries and prepare quotations.
• To find suppliers, order samples, arrange inspections and organise shipping for your project.
• To issue PIs and invoices, receive payments and keep business records.
• To understand how the website is used and improve it.
• To meet legal, tax and accounting obligations and to protect against fraud.

We do not sell your personal information and we do not use it for automated decisions about you.

4. Who we share it with

We share only what each party needs to do its part of your project:

• Suppliers and factories: product specifications, quantities and artwork. We do not give them your contact details unless you ask us to.
• Inspection companies, freight forwarders and couriers: shipment and delivery details.
• Payment providers: XTransfer, our receiving bank and PayPal, for processing your payments.
• Service providers we use to run the business: email (Google), messaging (WhatsApp), website hosting and quote-form delivery (Cloudflare) and analytics (Google Analytics).
• Authorities: where the law requires it.

5. International transfers

We are based in China, so information you send us is processed in China. Some of our service providers process data in other countries, including the United States. We use reputable providers and only share what is necessary for the purposes above.

6. How long we keep it

We keep enquiry information for as long as the conversation is active and for up to 2 years afterwards. Order, invoice and payment records are kept for as long as Chinese tax and accounting law requires. After that we delete or anonymise the information.

7. Cookies and analytics

We use Google Analytics to measure visits. It sets cookies in your browser. You can block or delete cookies in your browser settings, or use Google’s Analytics opt-out add-on. The language and currency choices are stored in your browser’s local storage and never sent to us.

8. Your rights

You can ask us to:

• tell you what personal information we hold about you and give you a copy;
• correct information that is wrong;
• delete your information, unless we must keep it by law;
• stop using it for a particular purpose, or withdraw consent you gave.

These rights apply under China’s Personal Information Protection Law and, where they apply to you, data-protection laws such as the EU and UK GDPR. We reply within 30 days. If you are not satisfied, you can complain to the data-protection authority in your country.

9. Security

We limit access to client information to the people working on your project and use password-protected business accounts. No method of sending information over the internet is completely secure, so please do not send passwords or full card numbers by email or chat.

10. Children

Our services are for businesses. We do not knowingly collect information from children under 16.

11. Changes to this policy

We may update this policy. The date at the top shows when it last changed. Significant changes will be noted on this page.
